Work instruction template for maintenance tasks
Updated · Reviewed by Israel Margulies, founder and CEO of High Point GPS
A work instruction template for a single task: the steps in order, the key point that makes each step right, and why it matters, with safety notes and the tools needed. Use it next to an SOP for the steps people most often get wrong.
Work instructions go one level deeper than an SOP. Where the SOP says "replace the hydraulic return filter", the work instruction shows how: which wrench, where to put the drain pan, how far to turn the new filter, and what a good result looks like.
The key point and reason columns are what make it useful. A step without its reason gets skipped when someone is in a hurry; a step with its reason ("so the gasket seats evenly and doesn't leak") usually doesn't.

Log columns: Step · What to do · Key point · Why
Fill it in the right way
- Choose one task and the machine or model it applies to.
- Watch someone experienced do it and write each action as a step.
- For each step, add the key point that makes it right, and why it matters.
- Add tools, PPE and the SOP it belongs to.
- Test it with someone new to the task, then approve it.
Tips
- Keep each instruction to one task and one page when you can.
- Add a photo of the finished step where looks matter: hose routing, belt alignment, wire color.
- Use the reason column to explain safety steps, not just quality steps.
- Number and date every version so old copies can be pulled.
Do it in FleetZap
- In FleetZap, a procedure can be attached to work orders, with pass/fail, reading, photo and signature steps; required steps block closing the job.
- Photo steps let a technician show the finished result, so you can see it was done right.
- Work orders keep the steps, parts, labor, photos and comments for each job, so the record is there when someone asks later.

Frequently asked questions
What is a work instruction?
Detailed, step-by-step directions for one task, with the key points that make each step right.
How is it different from an SOP?
An SOP describes a whole process; a work instruction explains one task within it in more detail.
What goes in the key point column?
The detail that decides whether the step is done well: a torque, a position, an order, a feel or a check.
Who should write work instructions?
The people who do the work, with a supervisor checking them. They know where the tricky parts are.
