Toolbox talk template

Updated · Reviewed by Israel Margulies, founder and CEO of High Point GPS

A one-page plan and record for a short safety talk: the topic, the key points to cover, the hazards and how to control them, questions the crew raised and who attended.

A toolbox talk is a short safety talk, often 10 to 15 minutes at the start of a shift, on one hazard the crew faces that day or that week. It works best when it's specific to the job and the crew talks back.

Pick topics from what's happening on site: a new machine, a near miss last week, a change in weather. Write the questions people raised; they often point at the next talk.

Toolbox talk

Fields: Date · Topic · Presenter · Job site / shop · Length

Log columns: Attendee name · Signature

The talk

  • Why this topic today
  • Key point 1
  • Key point 2
  • Key point 3
  • Hazards and how we control them
  • Questions and concerns raised
  • Actions agreed and who owns them

Fill it in the right way

  1. Choose one topic that fits the work this week.
  2. Write three key points and the hazards with their controls.
  3. Hold the talk where the work happens, and keep it short.
  4. Ask the crew questions and write down what they raise.
  5. Agree any actions and who owns them.
  6. Have everyone sign and file the sheet.

Tips

  • One topic per talk; three points people remember beat ten they don't.
  • Use real examples from your own site, not generic stories.
  • Show the equipment or the hazard if you can.
  • Close the loop: tell the crew what happened with the concerns they raised.

Do it in FleetZap

  • A machine problem raised in a talk can be reported by scanning its QR label, which opens a work order for the shop.
  • Pre-use checks on each machine are done on a phone without an account; a failed item opens a repair.
  • FleetZap records checks and repairs; it doesn't track training records.

Frequently asked questions

What is a toolbox talk?

A short, informal safety meeting on one topic, usually at the start of a shift, led by a supervisor or crew lead.

How long should a toolbox talk be?

Usually 10 to 15 minutes, long enough for one topic and a few questions.

What are good toolbox talk topics?

Hazards the crew faces now: machine blind spots, working near traffic, heat or cold, lifting, a recent near miss, a new tool or procedure.

Do toolbox talks need to be documented?

It's good practice and many clients and insurers expect it: record the date, topic, presenter and attendees.
